Finance Officer-Customer Development - Unilver

Business Context and Main Purpose of the Job
A financial Partnering Role responsible for overall company Sales/Turnover, Revenue Collection and Top Line P&L Reporting. The Role manages all Sales Invoicing processes, Cash (Bank) Receipts and Associated Controls, Sales Related Accounts Payables (warehousing, auction and shipping related costs) and Topline P&L Reporting. It also manages all Supply chain related costs and Foreign Exchange (Forex) Revaluations) amongst other roles. Key internal contacts are the company Leadership Teams (LT), Management Reporting Teams, Supply Chain Teams and Logistics Teams. Key external contacts are all customers, Government Statutory bodies for Tax and other Government Levies, Trading groups / Associations and Banks.

 Key Responsibilities
A) Accounting & Reporting

  • Provide overall company sales position (NPS/Gross turnover) and related exchange gains or losses on sale in USD by 2nd of every month.
  • Review and Sign off monthly Cash and Debtors Revaluation Reports – End Month.
  • Responsible for UTKL Mombasa office unit Accounts overheads and charge-outs through a sharing agreement with the TBO. Ensure that the sharing agreement is signed-off each year.
  • Follow up for payments, enforcing credit terms policies and initiating way forward in case of risk of default – As and when a case arises
  • Following end month reports / reviews are done:
  • UTKL Sales Report : by 2nd of every month
  • Review and Sign off of UTKL Cash Revaluation – 1st of every month
  • Review and Sign off of UTKL Debtors Revaluation – 1st of every month
  • Provisions of Selling / SC charges – Transport, Terminal Handling, Port Charges, Warehousing, Freight if any, Statutory and None Statutory deductions and unit expenses if already incurred.   

B) Business Partnering

  • Partner with UTKL Supply planning and Customer service (SP &CS) team and ensure Invoicing is done daily by sales accountant upon making of a sale.
  • Partner with Supply chain and Planning on Tea Sales Forecast monthly – mainly monitoring weekly and monthly
  • Partner LT via FM UTEA for weekly update on sales invoiced and committed for the month – Done by sales accountant  weekly
  • Provide Cash Receipts forecasts as required and sales split between Concern and 3rd parties monthly – Done by Debtors Accountant
  • Enforce all third party contracts with shipping lines, tea transporters and payment preparations – As at the time of making a payment
  • Dispute resolutions – with shipping lines & transporters over payment issues: as per need.
  • Do monthly reviews with departmental heads with an aim to improving efficiency/cost control and business development – Unit Accounts shared and discussed monthly 

C) Risk, Controls & Audit

  • Implement financial controls like authority limits schedule across the units through review of the source documents in line with the Unilever Code of business principles - Daily
  • Implementation of Operational control assessment in CDD - Daily
  • Key point person for all Internal and External Audit Issues and implementation of  Audit recommendations – Full Remediation for OCA done in CD areas. 

D) Budgetary & Forecasts & Payments 

  • In conjunction with SC & CS manager, prepare UTKL Mombasa office annual budget and monitor expenditure and review costs monthly
  • Responsible for verifying and validating the Shipping Lines, Tea Transporters and other Mombasa office Tea Sales Related costs  and send to accounts payable team– Done Monthly
  • Ensure EATTA membership fees and other regulatory bodies touching on CD are validated and send to accounts payable team for payment. Ensure payment is made on time. 

Key Skills and Qualifications

  • Under Graduate Degree in Accounting
  • CPA/ACCA Finalist(Should be Member of ICPAK)
  • 3-4 years’ experience in accounting/finance
  • Strong Team Commitment & Leadership , Accountability & Responsibility especially on Integrity, Objective Analytical Power,  Organizational Awareness
