Administrative Clerk - US Embassy

The Drug Enforcement Administration (DEA) has an opening for the position of Administrative Clerk. The position will be available immediately. The closing date for this position is March 23, 2015. You will be notified when the decision is made.

Minimum Requirements
  • Qualifications Required:  
  • Completion of high school is required.
  • Two years of clerical and office experience; Two years of “no-accident” driving experience and auto mechanic trouble shooting experience is required. 
  • Level VI English and Level III Kiswahili ability is required.

Other Criteria 
  • Must know Kenyan traffic laws and be familiar with traffic patterns in and around Nairobi. 
  • Must be knowledgeable on vehicle operation and maintenance procedures, international and local traffic signs, antiterrorism driving tactics, emergency first aid, locations of hospitals, and official residences. 
  • Must be able to read maps and find locations.
  • Must possess a valid Kenyan Driver’s License.
  • Must have customer liaison skills and experience interacting with Government officials or Government departments.  

Job Specification
BASIC FUNCTION OF POSITION          
Will serve as an Administrative Clerk in the DEA office.  Additional duties will include driving and serving as the liaison person to DEA personnel and official visitors.

MAJOR DUTIES AND RESPONSIBILITIES             
Clerical/liaison responsibilities - 70%
Organization of daily DEA transportation requests – i.e., processing of all vehicle-related documentation for travel, preparation of vehicle use summaries, and any paperwork relating to vehicle maintenance reporting.  Responsible for providing a report (mileage, gas usage, maintenance information, etc.) on the vehicle to DEA headquarters by the fifth working day of each month.

Prepares routing correspondence; serves as a representative of the office and handles transactions with banks, cashiers, vendors, and other entities as instructed.  Signs for and is entrusted with negotiable documents and cash.   Signs receipts for materials.  Makes minor payment and collects receipts for petty cash accountability.

Delivers and collects parcels from or to vendors, the Kenyan post office system, Embassy APO, freight and customs offices, etc., and makes payments to vendors and suppliers when required.

Prepare work orders, supply requests, travel requests, and travel advance requests.  Does all office related activities such as copying and filing.

Responsible for all DEA internal communications, records space, procurements, supplies transportation, post maintenance and other housekeeping functions/duties.  Communicates with host country government offices and other officials of various local organizations and business firms to secure information related to DEA office operations to negotiate necessary administrative supplies and services etc.

Responsible for check in and check out of equipment such as DEA office equipment such as camcorder, video camera, digital camera, laptop computers, power point projector, document examination unit etc.

Assist Drug Enforcement Administration (DEA) on various investigations pertaining to criminal and violations.  Violations in the areas of drug smuggling, illegal importation/exportation of precursor chemicals, travel document fraud, fraudulent documents, trade fraud and general smuggling.

Chauffeur - 30%
Using defensive driving techniques, the incumbent drives Country Attaché, Special Agent and official visitors temporary duty personnel, various US government and local government officials on official business.Select routing and varies by time and route in accordance with Embassy and RSO policies.  Monitors the Embassy emergency radio net and takes evasive action when necessary.  Coordinates periodic servicing and monitors mechanical repairs by dealers or other automotive service centers.  Evaluates costs and recommends purchase of parts, supplies and services.  Serves as the office liaison with the Embassy motor pool staff and other Embassy drivers.
